• We collect the information you give us, like your name, business, email, phone and answers to our plan questions, plus basic usage data from our website and funnel.
• We use it to respond to you, recommend a plan, book calls, take payments, deliver our services and measure our marketing.
• We do not sell your personal information. We share it only with the service providers that help us run our business, and with advertising platforms to measure our ads, which you can opt out of.
• We never share your mobile number or text-message consent with third parties for their own marketing.
• You can ask to access, correct or delete your information at any time by emailing contact@hgmediaco.com.

This Privacy Policy explains how HG Media Co., a Tennessee limited liability company (“we,” “us” or “our”), collects, uses and shares personal information. It applies to hgmediaco.com, our plan finder at solutions.hgmediaco.com, our scheduling and payment pages, our emails and text messages, and the services we provide to clients.

Information you give us

• Contact and business details: your name, business name, email address, phone number and website.
• Answers you give in our plan finder, such as your industry, approximate revenue range, goals and timeline, and any messages you send us.
• Scheduling details when you book a strategy call.
• Payment details when you pay a deposit or invoice. Card and bank details are entered directly with our payment processor, Stripe. We do not see or store full card numbers.

Information from our clients’ accounts

When you hire us, we may receive access to your website, Google Business Profile, analytics, advertising, social media and call tracking accounts, along with the photos, footage, voice and likeness of people who appear in the content we produce for you. We use this only to provide your services.

Information collected automatically

When you visit our website or plan finder, we and our partners collect device and usage information such as IP address, browser type, pages viewed, time on page, referring website and the ad or campaign that brought you there. We collect this through cookies, pixels and similar technologies described in our Cookie Policy.

Information from other sources

We may receive information from advertising platforms about how people respond to our ads, and we may look at publicly available business information, such as your Google Business Profile, reviews and website, to prepare an audit or proposal you request.

• To respond to your inquiry, recommend a plan and send you the audit or information you ask for.
• To schedule and hold strategy calls and to send confirmations and reminders.
• To process deposits and payments and keep business and tax records.
• To deliver, manage and report on the services you buy from us.
• To send you updates and marketing about our services. You can opt out at any time.
• To measure and improve our website, funnel and advertising.
• To protect against fraud and abuse, and to comply with the law and enforce our Terms of Service.

We do not sell your personal information. We share it only as described here:

• Service providers that help us run our business and are allowed to use the information only to provide services to us. These include website hosting (WordPress.com), our plan finder and forms (Perspective), scheduling (Cal.com), payments (Stripe), our CRM (HubSpot), email and productivity tools (Google Workspace), analytics (Google Analytics), workflow automation (Make) and project management and file delivery tools (such as monday.com, Slack, Timeliner and Dropbox).
• Advertising platforms. Our plan finder uses the Meta Pixel, the Google Ads tag and the TikTok Pixel to measure how our ads perform and to show our ads to people who visited. These platforms may combine this data with information they already have. See Section 7 to opt out.
• None of the sharing above includes text-messaging opt-in data or consent.
• Legal and safety reasons, when we believe disclosure is required by law or needed to protect our rights, our clients or others.
• Business transfers, if our company is involved in a merger, sale or reorganization, subject to this policy.

Text messaging. Mobile phone numbers and text-message opt-in consent are never shared with or sold to third parties or affiliates for their marketing purposes. Text messages are sent only to people who gave us their number, about the inquiry or services they asked about. Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for help.

We keep inquiry and lead information for up to three years after our last contact with you, and client and payment records for as long as needed to provide services and then for up to seven years to meet tax and legal requirements. When we no longer need information, we delete or anonymize it.

We use reasonable administrative, technical and physical safeguards, including encrypted connections, access controls and two-factor authentication on our key accounts. We request manager-level access to client accounts instead of passwords wherever platforms allow it. No system is perfectly secure, so we cannot guarantee absolute security.

• Access, correction and deletion. You can ask us what personal information we hold about you, ask us to correct it, ask for a copy, or ask us to delete it.
• Marketing emails. Use the unsubscribe link in any marketing email.
• Text messages. Reply STOP to any text.
• Ad measurement and targeted advertising. Use the cookie preferences on our plan finder, your browser’s cookie settings, Google Ad Settings, your Meta and TikTok ad preferences, or the industry opt-out tools at optout.aboutads.info and optout.networkadvertising.org.
• Google Analytics. Learn how Google uses this data at policies.google.com/technologies/partner-sites, or opt out with the Google Analytics opt-out add-on.
• Do Not Track and Global Privacy Control. Our website does not currently respond automatically to browser Do Not Track or Global Privacy Control signals. You can use the choices above, or email us and we will opt you out of advertising measurement tied to your information.

To make a request, email contact@hgmediaco.com. We will verify your request and respond within 45 days. If we decline your request, you may appeal by replying to our decision. We will not treat you differently for using any of these rights. We offer these choices to everyone, regardless of the state you live in.

Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

We are based in the United States, and our service providers may process information in the United States and other countries. By using our website or services, you understand your information may be processed outside your home country.

We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of this page. If we make a significant change, we will take reasonable steps to let our clients know.
